Absences

You will be billed a session fee if your child is absent for any reason including illness.

Students are charged a session fee whether they attend the scheduled session or not.

Please update your child’s schedule within the three day window to avoid unattended session fees.

Please notify your child’s KC site if they are going to be absent from their scheduled session for any reason including after afternoon activities at school.

If absent due to illness, please notify your child’s Kids Club site, your child’s teacher and the bus garage.

Please do NOT email after 2:30. Please call your Kids Club site.

Staff is busy setting up the site and may not check email after this time.

Please call your Kids Club site if you are reporting an absence after 2:30 on the day of the absence.

Teachers and office staff do not inform Kids Club of absences reported to them. 


Additional Charges

Kids Club reserves the right to assess fees and/or penalties for late payments.

Fees and penalties may be subject to change.

Fees are as follows:

 Late Pickup: There is a late charge 6:01-6:10 is a flat $15.00 fee and 6:11-6:15 is an additional $15.00

Late payments: $5.00 fee will be charged weekly for any unpaid balance.

Partial payments are subject to late fees.

Finder’s Fee: $5.00 fee will be charged, if you do not notify Kids Club that your child is not attending and Kids Club staff needs to call to verify that your child is not attending Kids Club.

This also includes if your child does not check into Kids Club within 15 minutes of being released from class. 

Please remind your child to go straight to Kids Club.


After School Snack

The after school Kids Club snack is part of your KC fee so you will not be billed.

You may bring your own snack that would be eaten at snack time.

Our snacks are nut free and made in nut free factories on account of nut allergies.

Please let staff know if the snack contains nuts so we can take precautions if we have a known allergy. 


Badge Usage

Your KC ID badge will allow you access to your child’s Kids Club site during Kids Club hours.

 New to Kids Club:

Start of school year: If you register prior August 15, your badge will be mailed to you.

If you would like a different arrangement for badge pick up, please contact us at the main office.

Behavioral Health Concerns

When you register your child, you will be asked to provide information about any known medical or behavioral conditions that may affect your child while at Kid’s Club.

Examples of known medical conditions include: Food allergies and/or special dietary needs (i.e. nut allergy, gluten free) Bee sting allergies Diabetes Epilepsy ADHD 


Behavior

Biting, hitting, kicking, scratching, or other potentially harmful behaviors

Any other condition that may affect the student or require medication during Kids Club hours

If your child displays any of the above behaviors, he or she may be asked to “take a break” and/or refrain from participating in the next activity.

Our staff will make an effort to privately communicate with you regarding behavioral concerns while at Kids Club to discuss solutions and develop a plan of action.

Our staff will communicate with you verbally about behavior concerns

If behaviors continue, you will be given a written behavior report of the incident or behavior for you to sign.

If it still continues, then I will call an in person or over the phone meeting to discuss steps going forward.

At this time, a one session in Kids Club suspension will take place.

If behavior continues after that and we do not see a plan forward for the child to be successful in Kids Club at this time, the child may be suspended from the program. 


Billing/Cost

Rate: Regularly scheduled students will be billed by session fee: $8.00 per morning session and $8.00 per afternoon session.

Students are charged a session fee regardless of length of time attended or whether they attend the scheduled session or not.

Please update your child’s schedule to avoid unattended session fees. Drop-in: $10.00 per session.

 Drop in is a day selected with less than 3 days notice in Eleyo. If your child is a drop-in, you must notify the child's teacher, your child’s Kids Club site and bus garage of the change.

If there is an emergency in which you need care for your child/ren.

Please contact the Kids Club office. If you currently have county assistance or feel you will need assistance of any kind for care in Kids Club, please contact our office so we can discuss it with you.

Your weekly invoice will be sent to you via email every Tuesday and will be due in full the following Monday.

If you have autopay, the funds will be taken out of your account on the due date.

If a family is not paying their Kids Club weekly billing in a timely manner, we reserve the right to deny care.

If you have an unpaid previous Kids Club balance, you will not be able to register for the upcoming season i.e. summer or school year.

You may be asked to prepay for upcoming care if you have had a prior unpaid season.

Checks, cashier’s checks, and money orders should be made payable to Kid’s Club and dropped off at any Kids Club site.

Checks may also be mailed to the Kid’s Club office at: 1415 Bartosh Lane, River Falls WI 54022.

 Online payment fees are included in your daily charge.

Breakfast

Breakfast will be served between 7:45/8:00 depending on the school and is finished at 8:15.

Kids Club students get ready to go outside at 8:15.

Students may bring items for breakfast It will be charged to your child’s lunch account.

The Food Service would like all families to fill out the free and reduced lunch form to determine eligibility as students are still charged for certain food items like classroom snacks

The charge for breakfast for the 25-26 school year is $1.80. Reduced breakfast is $.30. Milk charge is $.55. 


Cell Phones

Students are not allowed to use their cell phones during Kids Club hours.

Please call or email your Kids Club if you have information you would like us to relay to your child.

If your child would like to call you for information or permission of some kind, please have them ask staff to use the Kids Club phone.

Please keep these instances to a minimum as the phone is for parent communication. 


Drop Off/Pick up

When dropping off and picking up your child, please be sure that you sign them in and out.

This is to ensure that all students are accounted for.

There are sign in/out areas at each site.

If for some reason you cannot walk your child in and sign them in, you must contact Deb or Angela to set this up.

All persons who are allowed to drop off and pick up must be entered into the computer as authorized pick-ups.

This is separate from being an emergency contact. 

This person may be asked for their ID to pick the child up and must be at least 18 years of age.

This is in accordance with state statute.

Greenwood Elementary Kids Club drop off will be at the main entrance. Kids Club will operate most often out of the multi purpose room. They may be outside if the weather is nice. Look for signage on the door. Please call: 715-821-2947

River Falls Public Montessori Kids Club drop off will be at door # 303. This is the door on the north side facing Pine Street and the angled parking spots. Kids Club will operate out of the Media Center. They may be outside if the weather is nice. Look for signage on the door.  Please call: 715-307-3644 

Rocky Branch Elementary Kids Club drop off will be at door 307 in the parent turnaround. The gate to the parent turnaround will close at 8:15. After 8:10, parents will need to park on Bartosh and walk students to the Kids Club entrance. Kids Club will operate most often out of the multi purpose room. They may be outside if the weather is nice. Look for signage on the door. Please call: 715-307-1828

Westside Elementary Kids Club drop off will be at the main entrance. Kids Club will operate most often out of the multi purpose room. They may be outside if the weather is nice. Look for signage on the door. Please call: 715-307-0582. You may be asked to present your Photo ID, especially in the beginning of the year until the staff recognizes you.

 

To ensure the safety of your child, you may be asked at any time for identification. Therefore, it is best to always carry your ID. 


Electronics

Students are not allowed to bring or use electronic devices from home.

Cell phones must be kept in their backpacks.

Students can use the Kids Club phone if they need to contact an authorized adult while at Kids Club.

Apple watches are allowed unless they are being used as a phone or computer.

While in Kids Club, they can be used as a watch only.


Candy/Gum/Food/Drinks

Candy and gum is not allowed at KC unless special permission is given. Ie after the Halloween party.

Gum is not allowed at any time.

Food or drinks bought at places like Kwik Trip/Caribou must be consumed at assigned tables.


Gym

Kids Club students use the gym on a daily basis.

Our students follow the school gym rule of ONLY tennis shoes are allowed on the gym floor.

Please send your student in tennis shoes or send shoes with your child.

We have allowed socks, but they are not allowed to play running games. 


Hours

Greenwood, Rocky Branch and Westside Elementaries times: 6:00-8:40 am and 3:50-6:00 pm

The River Falls Public Montessori times: 6:00-8:45 am and 3:40-6:00 pm.

Please ensure that your child is picked up no later than 6 pm.

 If you will be late for any reason, please notify the on-site staff.

Understand that there is a fee for late pickup.

No School Days: Kids Club operates only on the days school is in session.

We are not open on inservice days.

Other KC closures are listed in the weather section.


Jr Kindergarten

If your child is registered for Jr. Kindergarten, you have 2 choices.

You can sign your child up to attend Kids Club at the site where Jr. K is located and not your home school or your child can attend Kids Club at your home school and take the transfer bus to the Jr K site.

Please contact the bus garage to arrange for your child to take the transfer bus to and from Kids Club.

Please notify Kids Club and your child’s teacher that they will be taking the transfer bus. 


Late Pick Up

6:01-6:10 is a flat $15.00 fee

6:11-6:15 is an additional $15.00

Staff will call account holders, parents and guardians first.

After 6:15, the Staff will call Angela or a site manager who will call the emergency contacts and other authorized pick ups.

After 15 minutes of no response, Angela or the site manager will call the non-emergency police number and your child or children will be turned over to them 


Illness or Emergency

In the event of an emergency, parents or guardians will be notified as soon as possible.

If they cannot be reached, emergency contacts will be notified.

If necessary, students will be transported to the River Falls hospital for treatment or the closest emergency room if off site.

The student will be transported at the parent or guardian’s expense.

Students who receive minor injuries will be given first aid by Kids Club staff or our health aide.

Parents and guardians will be notified.

School hours - Kids Club procedure requires that all head injuries are reported to the on-site nurse (summer) and school nurse (school year).

If your child has any head injury while at Kids Club, you will be contacted prior to pick-up.

For severe injuries, allergic reactions, seizures, or under any circumstance where the child loses consciousness or has trouble breathing, 911 will be called immediately.

If your child is vomiting or has diarrhea, a fever, or any contagious illnesses or symptoms within 24 hours of Kids Club, we ask that you keep them home.

If your child experiences any of the previous while at Kids Club, you will be contacted and asked to bring them home. 


Medication

Non-Prescription Medication: Kids Club staff can only accept non-prescription over-the-counter medications or emergency medications from parents to give at Kids Club or to the school nurse. Examples are emergency inhalers

To accept the medication: Requires both written physician authorization, which may include the label on the medication and a parental authorization form or the parental authorization form must be on file in the nurses office.

All medication must be in its original containers, marked with the child’s name, name of drug, and directions for its administration and storage.

Staff will only administer non-prescription medication or emergency medications to children with a parental authorization form on file at school for that medication.

Prescription Medication: Kids Club staff are NOT allowed to accept any prescription medication. 

These must be given to the school nurse directly by the parent. Requires both written physician authorization, which may include the label on the medication and a parental authorization form, which must include the name of the child, the name of the medication, dosage, number of times per day, and duration of medication.

All medication must be in its original containers, marked with the child’s name, name of drug, and directions for its administration and storage. 


Movies

Commercially rated movies should be rated G or PG.


Registration

Registration for the following school year Kids Club opens June 1st. Registration is open all school year, but acceptance is based on staff to student ratios.

We will close registration one week prior to the first day of school to assure that we have appropriate staffing.

Registration will open one week after the first day of school for dates starting the third week of school.

Please know that your child's contract must be approved prior to them being able to start.

This may take up to a week to approve depending on when your contract is submitted.

This includes drop-ins and students registering on orientation day. If you do not receive an email confirmation after 1 week, please contact the office to check on its status.

We apologize for any inconvenience, we require this time to process and/or update your child’s information to ensure their safety. 

Separate registration is required for children from multiple households that rotate payment responsibility.

Children must re-register for Kids Club each summer and school year.

 Late registration: Your child’s contract may be denied due to staff to teacher ratios which are set by state statute.


Registration Fee

There is a $35 non refundable registration fee per child per household. 


Schedule Changes

All schedule changes/requests need to be made in your account on rfsd.ce.eleyo.com

You will have a 3 day window prior to the day you would like to add or delete from your child’s schedule to make that change and avoid being charged a drop-in rate or being charged for the day.

If making a schedule change under the 3 day notice, please notify your child’s Kids Club site, your child’s teacher and the bus garage.

If you have given your child’s teacher your child’s Kids Club schedule, it is your responsibility to make the classroom teacher aware of any changes.

Teachers and the office do not make us aware of any schedule changes so please call or email your child’s Kids Club site if making a schedule change with less than 3 days notice. Days added will be charged at the drop-in rate.

Valuables/Toys and Items from Home

All valuables, toys and items not school related should be left at home unless they are part of their classroom schedule ex. stuffed animal day.

The only way to assure their safety is to have your child leave it in their backpack until class time.


Weather/Closures

Please make sure that your child has weather appropriate clothing.

Kids Club has students go outside to play most mornings and afternoons all year so please make sure your child is dressed to spend at least ½-1 hour outside.

hould inclement weather or other emergency situation(s) require the District to close school(s), the following procedures shall be followed: Automated calls will be placed to student and employee home phone numbers before 6:00 a.m. or as soon as possible using the District’s emergency notification system, Infinite Campus School Messenger, if conditions warrant the delay or closing of schools.

If the School District of River Falls is CLOSED, Kids Club is CLOSED.

If the School District of River Falls has a 2 Hour Delay, Kids Club is CLOSED for the am session.

If the School District of River Falls closes early for a weather related reason, Kids Club will be CLOSED for the afternoon session. 

Local television and radio stations will also be notified by 6:00 a.m. or as soon as possible. Information is also posted on the District website.
