Guidelines for Staff and Approved Partners
These guidelines are in place to ensure that information shared with families and the community aligns with district policies and values. Our digital standards are designed to make information accessible, translatable, scalable, and available to all. PDFs will not be shared electronically, as they are often not ADA compliant or easily translatable. Using our approved formats ensures accessibility for assistive technology and automatic translation, helping us reach all families.
The district reserves the right to determine if and how this information is shared with our families.

- Physical copies, designed for print.
- Can include QR codes.
- Examples: flyers, brochures, posters, yard signs.

- Designed for screens: PNG or JPG (no PDFs accepted).
- Must include both the graphic and accompanying text/links.
- A branding kit (colors, fonts, logos) is available in Canva.
- Can be shared on social media, websites, or via email.
- Example accompanying text: event name, location, date, time, brief description, registration deadline, and URL (no QR codes).

Distribution |
Best for in-person pickup or display in high-traffic areas (e.g., school entryway, teacher lounge).

Information can be shared digitally through:
- School newsletters (frequency varies)
- District eNewsletter (monthly)
- Website announcements
- Social media (District Facebook/Instagram; some schools also maintain accounts).
The district reserves the right to determine if and how this information is shared with our families.

Process |
Internal staff: Contact your building’s front office for approval to post on bulletin boards, etc. External partners: Contact Jenny Ames by phone (715.425.1830 ext. 8301) or email (jennifer.ames@rfsd.k12.wi.us) to coordinate. If approved, you must provide copies. |
Send the following:
- PNG graphic (minimal text)
- Event details (event name, location, date, time, brief description, registration deadline, URL).
Internal staff: Send information to both your building secretary and Jenny Ames. Approved external partners: Email materials to jennifer.ames@rfsd.k12.wi.us.

Example:
The following information is needed for a Parent Information Meeting event:
- Graphic for a parent meeting.
- Information about the parent meeting: Date, time, location, other important details.
This information is then emailed to Jenny Ames (and building secretary for internal staff submissions), who will determine 1) If information is to be shared and 2) the best way to share the information.
Potential sharing methods include school newsletter, district eNewsletter, website announcement, and/or social media.
